General Description and Classification Standards:
Performs clerical, administrative, inventory, and field support activities for the Office of Fleet Services (OFS), Asset Management Office. Responsible for supporting the City's asset management process throughout the asset lifecycle, including the commissioning of assets upon acquisition, maintaining accurate asset records, tracking and updating asset information, decommissioning assets identified for retirement, and coordinating the disposition of retired assets.
Duties include, but are not limited to, commissioning newly acquired fleet vehicles, equipment, and other assets; maintaining and updating asset records; entering and verifying information in computerized asset management systems; coordinating the movement and staging of retired assets; preparing documentation for asset disposition; communicating and coordinating with retired asset vendors; conducting physical inspections and inventories of assets; traveling between City facilities and work sites; and assisting with the timely movement of assets through the asset lifecycle.
Work may require outdoor field activities, extended periods of standing or walking, operation of City vehicles and equipment as authorized, and evening, weekend, or holiday assignments based on operational needs.
Supervision Received:
Works under general supervision. Work methods and assignment results are typically reviewed by a more experienced professional, supervisor, or manager prior to final action.
Decision Making/Leadership Provided:
Uses independent judgment within established policies, procedures, and guidelines to complete assigned duties and resolve routine operational issues. Follows standardized procedures, written instructions, and established Asset Management practices to ensure accurate and timely processing of fleet assets throughout the asset lifecycle.
Leadership Provided: None. May provide direction to temporary, contract, or vendor personnel as needed to facilitate assigned work activities.
Essential Duties and Responsibilities:

- Supports the Office of Fleet Services Asset Management Office in the administration and coordination of the City's fleet asset management process.
- Assists with the commissioning of newly acquired fleet vehicles, equipment, and other City assets, including verifying asset information and ensuring required records are established and accurately input into applicable asset management systems.
- Inputs, updates, verifies, and retrieves asset information in computerized systems, including Asset Works and other City-approved databases or tracking systems.
- Maintains accurate and timely records throughout the asset lifecycle, including asset identification numbers, descriptions, locations, status, acquisition information, assigned department, and disposition information.
- Conducts physical inventories and field inspections to verify the location, condition, identification, and status of fleet vehicles, equipment, and other City assets.
- Assists with the reconciliation of physical assets against computerized records and researches discrepancies to ensure asset information is accurate and current.
- Assists with the decommissioning of fleet vehicles, equipment, and other City assets identified for retirement and disposition.
- Coordinates the movement, staging, and preparation of decommissioned assets for disposition in accordance with established procedures.
- Prepares, processes, and maintains asset management documentation, forms, reports, spreadsheets, and other records required for commissioning, decommissioning, and asset disposition.
- Works collaboratively with retired asset vendors to coordinate asset pickups, transportation, scheduling, documentation, and other activities necessary to complete the disposition process.
- Communicates with City departments, fleet personnel, vendors, and other stakeholders regarding the status, location, movement, commissioning, decommissioning, and disposition of fleet assets.
- Travels between City facilities, fleet locations, work sites, and other designated locations to support asset commissioning, inspections, inventories, decommissioning, staging, and vendor coordination activities.
- Verifies that newly acquired assets are properly identified, documented, and entered into the applicable asset management system.
- Verifies that assets identified for retirement are properly identified, documented, and prepared for disposition prior to vendor pickup or transfer.
- Monitors retired asset activities and follows up on outstanding items to support the timely removal and disposition of decommissioned assets.
- Maintains organized electronic and physical records related to fleet assets and asset lifecycle activities.
- Prepares routine reports and status updates related to asset inventory, commissioning, decommissioning, asset movement, vendor activity, and disposition.
- Assists with scheduling and coordinating field activities associated with asset management, including vendor access to City facilities.
- May assist with the loading, unloading, movement, or staging of equipment and assets when required and within established safety procedures.
- Provides support during special projects, fleet initiatives, audits, inventories, and other Asset Management activities as assigned.
- May be required to work evenings, weekends, holidays, or extended hours to support operational requirements, scheduled vendor activities, asset commissioning, vendor pickups, or special assignments.
- Performs other duties as assigned.

Knowledge Skills and Abilities:

Ability to inspect, identify, verify, document, and reconcile physical assets with computerized records.
Ability to maintain accurate electronic and physical records, follow established procedures, and resolve routine asset management issues.
Ability to conduct inventories and field inspections and coordinate asset movement, transportation, scheduling, and disposition activities.
Ability to safely assist with the staging, loading, and unloading of fleet assets and travel between City facilities and work sites as required.
Minimum Qualifications:
Education and Experience –
High school diploma or General Equivalency Diploma (GED)
Six (6) months of experience in asset management, inventory control, clerical, stocking, storekeeping, or related operations; or any equivalent combination of training and experience that provides the requisite knowledge, skills, and abilities for the job.
Preferred Requirements –
High school diplo006Da or General Equivalency Diploma (GED) and 1-3 years' of storekeeping operations experience preferred
Licensures and Certifications
Position would be expected to have licensure or professional certifications appropriate to the position. Required: Valid Georgia driver’s license
Work Environment:
Required physical and sensory capabilities to perform the job successfully. Typical environmental conditions associated with office work and in-person reporting at least 4-5 days per week. Must be able to walk/stand/bend/sit for long periods. May experience excessive noise. Work indoors and outdoors. Schedule shift may include evening hours, weekends, and holidays.
